How to create a collapsible row in Excel?

Microsoft Excel is a flexible program that helps people manage data effectively. One of its lesser-known yet useful features is the ability to create collapsible rows. Collapsible rows allow you to hide and display specific rows within a worksheet, making it easier to organise and read complex spreadsheets.

How to create a collapsible row?

If you wish to keep your long and complex spreadsheet organised and create a collapsible row, follow the steps below.

Step 1: Open the document, select the rows that you want to collapse, click on the Data tab in the toolbar ribbon, and then click on the Group button in the Outline section.

Step 2: Click on the Rows and then click n the OK button.

Step 3: Collapsible rows will be created; now click on the Minus sign button to collapse those rows.

Step 4: The selected rows will collapse, and a line will appear between the row above and below the collapsed rows. To expand those rows, click on the Plus sign button on the side.

How to create nested collapsible rows?

The steps to create a nested collapsible row are the same as creating a collapsible row, but still, for clarity, you can follow the steps below.

Step 1: First, Create a collapsible row by following the above-explained guide; select rows within the collapsible row, click on the Data tab in the toolbar ribbon, and click on the Group button.

Step 2: Another collapsible row will be created within the previous one.

Step 3: This is how you can create as many collapsible rows as you see fit for your data, and you can use the Minus sign button to collapse the row and Plus sign button to expand the row.


How to ungroup a single collapsible row?

If you want to ungroup a single collapsible row, follow the steps below.

Step 1: Select the rows you want to ungroup, click on the Data tab, and then click on the Ungroup button in the Outline section.

Step 2: Click on the OK button.

Step 3: The collapsible row will be removed.

How to remove all collapsible rows at once?

To remove all the collapsible rows at once, follow the steps below.

Step 1: Expand all the collapsible rows, click on the Data tab, then click on the Arrow on Ungroup button.

Step 2: In the dropdown menu, click on the Clear Outline option.

You cannot undo this action even by pressing the Ctrl + Z button, so be sure before using this method.
