Adding a signature line to your Word document is a professional touch, particularly when dealing with contracts, letters, or forms that require personal approval. Microsoft Word offers a simple way to insert a signature line, providing a signature placeholder.

Add formatted signature line
The simplest way to create a signature line in Word is by using this first method. It provides plenty of options for personalising the line to suit your preferences or the preferences of those who will be signing the document. You can change the line’s length and position it anywhere in your document. Here are the steps to do it:
Step 1: Open the Word document where you want to add the signature line and place the cursor where you want to add the signature line.
Step 2: Click on the Insert tab in the menu bar and click on the Down arrow head icon beside the Signature line available in the Text group ribbon.

Step 3: Click on the menu’s Microsoft Office Signature Line option.

Step 4: In the Suggested signer box, type the signatory’s name, then in the Suggested signer’s title, add the title of the signatory and then click on the OK button.

Step 5: The signature line with your indicated information will appear where you placed your cursor.

If you only want a signature line without pre-filled details, keep the name and title text boxes empty. However, if you decide to enter this information, the text typed below the line will show the name and job title of the person signing. A noticeable large X will also be on the line, guiding the signer where to place their signature.

Add a horizontal line
Using the horizontal line tool, you can also create a signature line in Word. This way, you can add your signature to the document later on, whether it’s an electronic signature or a handwritten one. Here’s how to do it:
Step 1: Open the Word document where you want to add the signature line and place the cursor where you want to add the signature line.
Step 2: Click on the Home tab in the menu bar and then click on the Down arrow head icon beside the Borders icon.

Step 3: Click on the Horizontal Line option in the dropdown menu.

Step 4: A long horizontal line will appear on your document; you can click and drag the sides of the line to shorten it. Double-click on the line to access more editing options.

Step 5: In the format horizontal line box, you can change the Width, height and alignment. After you finish, click the OK button to save the changes.

Draw the signature line
You can see the shapes in Word to create a signature line in your document. Here are the steps to do it:
Step 1: Open the Word document where you want to add the signature line.
Step 2: Click on the Insert tab in the menu bar and click on the Shapes in the Illustrations group ribbon.

Step 3: Click the first option under the Lines section in the dropdown menu.

Step 4: The mouse cursor will appear as a cross; take it to where you want the signature line, left-click to start drawing the line, drag it and release to stop drawing.
The default colour of the line is not black. You can change the colour from the toolbar’s Shape Styles section.
